General Terms & Conditions
Annual Family Membership Fee
The annual membership fee is £40. Membership must be paid prior to enrolment, is non-refundable, and can’t be pro-rated. Membership will be automatically deducted from the payment card linked to your account every 12 months until cancellation with two months’ notice is received in writing. Upon termination of your classes and pursuant of your eight paid classes notice period, your membership will expire regardless of when it was purchased. Members that have left The Little Gym but paid for the full year before its expiration can no longer claim member’s benefits.
Continuous Enrolment
The Little Gym® Godalming operates a continuous enrolment policy. Enrolment continues until 8 paid classes notice is received in writing. Telling a staff at the desk or on the phone without written proof will not be acceptable as notice. If cancellation is not received in writing, fees will automatically be deducted when re-enrolment fees are due. The minimum enrolment period is three months in order to provide children with an opportunity to fully experience the programme. Continuous enrolment means that your membership doesn’t stop at the end of the school year, Eight paid classes notice is required at any time of the year.
The Little Gym Godalming can offer, upon request a first month of enrolment without obligation to formally enrol under the strict condition that a notice of cancellation is received in writing at the latest the day after the third class. Should the notice of cancellation not be received in writing, the automatic and continuous enrolment will apply until a formal written two-month notice is received. All payments are due upon booking and the non-refundable policy applies.
Failed and Late Payments
The Little Gym Godalming reserves the right to charge a £15 late payment fee if any payment is later than 7 days from its scheduled date, with an additional 1.5% per day thereafter. Please ensure that all payments are made on time. If your card isn’t up to date (our system will notify you 7 days in advance so please ensure you ring us) or, if there is insufficient fund on the card by the time payment is due / taken, we will charge you an extra £5 each time the payment fails to go through (we try 3 times) to cover our charges. Please ensure there are sufficient funds on your card to make payment in time. We will not be able to cancel the failed payment charges are we are charged ourselves for these failed payments.
Childcare voucher payments should reach our account on the schedule payment dates. Any late payment will incur the same aforementioned charges.
If you have any difficulties, please contact us immediately to discuss. We will ensure to work with you and work out a solution. The Little Gym Godalming relies on prompt customer payments but accept that in some cases late payments are unavoidable however, without prompt communication or warning from our customers, charges will apply as we will incur charges from our vendors.
Programme Termination
Eight paid classes notice is required to cancel from the programme following a three month minimum enrolment period. Cancellation must be received via email. The balance owed is calculated on the number of classes taken versus the amount of classes paid. The Little Gym Godalming will not be refunding any classes paid in advance after cancellation but reserves the right to offer credits on a case by case basis providing that the cancellation is within the current season. Credits are not exchangeable for cash. Credits can be used against future camps or classes only. Refunds are not available. Credits are not provided for missed classes, make-ups or unused Bank Holiday make-up sessions. Pre-payment for classes made ahead of the start of a new season are non-refundable under any circumstances.
Make-Up Policy
Classes cancelled due to illness or holidays may be made up. There is a deadline to claiming these; 1. you can only claim make-ups if you are still an active member and you’ve not cancelled your membership, and; 2. Make-up lapses every 23rd December – again, if you are not an active member, make-ups are not redeemable. Make-ups are allocated according to availability. Notification of cancellation of class must be received by 9:30am to qualify for a make-up. Notify us by phone, voicemail, email or in person. Make-Up classes cannot be used after you have cancelled from the programme and are offered purely at the discretion of management. Members with classes that fall on public holidays are allocated a make-up class if counted as a class in your payment plan. Make-ups can be used against additional classes or holiday camps if your child is 3 years or over. You can pass these on to siblings.
School Holiday Closure Periods
Closed for Christmas and at Easter – please see our brochure in the schedule section for dates. Other closure periods include any Bank Holiday breaks. During Closure camps may be operating – please also check our schedule online. Members with classes that fall on a public holiday are automatically allocated a public holiday bonus class.
Class schedule changes
The Little Gym reserves its right to move or cancel a class without prejudice as long as they can offer an alternative class time to its members. We do strive to keep the schedules as consistent as we can but in certain circumstances such as but not limited to, lack of popularity, The Little Gym will seek to change its schedule to address members preferences. If you wish to cancel you class because the alternative schedules are no longer suitable, our cancellation policy will still apply.
Temporary Closure Due to Local or National Lockdown
Should any local authority body or Central Government temporarily close the gym your child’s season will continue with virtual classes on Zoom and/or YouTube. All membership terms and conditions will still apply and fees will continue throughout.
General Policies
Responsibilities
Parents and children must not attend The Little Gym if showing any symptoms of illness, including but not limited to coughs, runny nose, sore throat, rash, fever of 37.7 or higher, headaches, extreme fatigue, or other symptoms of illness. Thank you for helping us to keep the community safe. We make every reasonable effort to ensure the safety of children in the gym. Parents are responsible for children’s safety in the lobby and entry/exit areas. Parents/guardians are responsible for the safe entry and exit of their children from the property. No responsibility is taken for personal belongings within any area of our premises, including any car park/buggy store. Please don’t bring nuts onsite.
Class Observation & Cafe-Style Members Lounge
Parents are welcome to drop off children at the door for collection by our teachers, and those happy to drop and run are welcome to do so. Please help yourself to free teas and coffees and watch your little ones have Serious Fun. The Little Gym Godalming reserves the right to evolve this policy in line with changing government guidelines should restrictions re-apply post COVID19. Siblings are not permitted to be in class unless they are enrolled in that class. We ask that parents refrain to coach from the lobby and let our teachers deal with your little ones. If we need a helping hand, we will call upon you. We ask that parents ensure that their little ones received a bathroom break before class and come with a labelled water bottled in the gym to ensure that children remain in the gym during the lesson.
Behavioural Issues
If a child is being disruptive, destructive, or dangerous to himself, herself, themself or other children and teachers, we will communicate with parents and the child to resolve this behaviour. If the behaviour persists or other undesired behaviours develop, the child will be asked to take a quiet break so that they can be helped to self-regulate.
Clothing
Children must wear sports clothing and be barefoot to maximise safety and freedom. No jewellery or food in the gym. Earrings must be taped. Adults must remove their shoes in the gym space. Please no dresses, skirts, jeans or tights as they damage our equipment and can be a health & safety hazard for your child.
Specific Terms & Conditions for Infectious Diseases and Covid-19
Customer Public Health Obligations
We follow strict health and safety guidelines to protect our customers, staff, and the local community. In line with guidance from Public Health England, we ask that any child or parent with a fever of 37.7 or higher stay home and refrain from joining classes, camps, birthday parties or any event at The Little Gym Godalming, and refrain from entering the facility.
Parents must keep children home if they have cold or flu symptoms, including but not limited to a fever, headache, nasal congestion, rash, cough, extreme fatigue or any other sign of illness. If children develop signs of illness during camp, parents will be called and children must be collected as soon as possible by parents. We reserve the right to refuse entry to camp if we suspect a child is unwell. No refunds can be provided for cancelled or unattended classes, however make-up classes may be allocated at the discretion of management. No refunds or credits can be provided for missed camps or Birthday cancellation.
If you or a member of your household, or a person with whom you have had recent contact (including track and trace), develops Covid-19, your family must not come to classes, camps, birthday parties or events for 14 days from the point of exposure or diagnosis in order to protect our customers, staff and the local community.
Infectious Diseases Releases Waiver
I assent that, when I am able to, I voluntarily enter the premises of The Little Gym® Godalming with my child and family members, and that we are utilizing its equipment and facilities voluntarily. I acknowledge that there may be inherent risk of exposure to, and contracting, infectious diseases, including but not limited to, influenza & COVID-19 associated with my child’s participation in activities provided by The Little Gym® Europe and its franchisee The Little Gym® Godalming (together “The Little Gym® Europe”), and with my presence and the presence of my child and family members within the premises of The Little Gym® Godalming. I have been encouraged by The Little Gym® Europe to practice good hygiene and appropriate measures including social distancing to reduce the likelihood of contracting or spreading infectious diseases.
I understand that the risk of becoming exposed to or infected by COVID-19 and other infectious diseases may result from the actions, omissions, or negligence of myself, my child and family members and others.
I understand that masks or facial covering and verbal and/or written health questions may be required as part of The Little Gym® Europe COVID-19 protocol. I further understand that I may be denied entrance to The Little Gym® Godalming facility based on the above gathered information.
I understand and agree The Little Gym® Europe is not liable for any potential exposure to or acquisition of infectious diseases that may result from the presence at The Little Gym® Godalming facility or the activities provided at The Little Gym® Godalming. The Little Gym® Europe is not liable for medical expenses related to testing or treatment of infectious disease. This release of liability includes any claims, whether an infection occurs before, during, or after presence at The Little Gym® Godalming facility or participation in The Little Gym® Europe activities.
I agree to follow the expectations listed here as well as those presented by signage at The Little Gym® Godalming and guidelines voiced by the staff of The Little Gym® Godalming, all of these elements together forming The Little Gym® Europe COVID-19 protocol:
Keep the appropriate social distance (at present 1 meter +) when queuing with my child outside of the gym facility based on government and The Little Gym® Godalming guidelines
I understand I will not enter the premises but will drop my child off at the agreed entry point and collect them from the agreed exit point as communicated by The Little Gym® Godalming
Only one parent/legal guardian is permitted to accompany a child for sign-in/collection
Good cough etiquette will be observed (‘catch it, bin it, kill it’)
If for any reason I am required to enter the premises I will wear a mask or facial covering
To follow all government, local authority and The Little Gym® Godalming COVID-19 guidance including but not limited to social distancing, not to shake hands, kiss or hug
I have read, understand and agree to adhere to all of the above rules, guidelines and procedures of The Little Gym® Europe COVID-19 protocol, which have been formulated to provide reasonable measures to avoid the transmission of infectious diseases.
